Terms & Conditions
The terms on which DoxaEd Timetables is made available to you and to your institution.

01Who we are
DoxaEd Timetables (“DoxaEd”, “we”, “us”) is a software-as-a-service timetabling application operated by DoxaEd, an independent owner-operated business in India. DoxaEd is not incorporated as a company, so it has no corporate identity number, and it is not registered for Goods and Services Tax.

These terms apply to the website and application published at timetables.doxaed.com (the “Service”). By creating an account or using the Service you agree to them. If you are agreeing on behalf of a school, college or other organisation, you confirm you are authorised to do so.
02What the Service does
DoxaEd builds conflict-free timetables. Inside a project you set up your weekly schedule, classes and sections, subjects, teachers, rooms and places, and the lessons (activities) that link them. You add scheduling rules — availability, workload limits, spacing, pinned and forbidden times, room preferences and so on — and the engine generates a timetable in which no teacher, class or room is double-booked. Depending on your plan the Service also covers break-duty rosters, substitute (proxy) cover with a fairness ledger, a term calendar, analytics, public sharing links and an AI assistant.
DoxaEd supports school, college and hospital-style projects; the wording in the app changes accordingly (teacher/lecturer/staff member, class/section/ward).
03Your account
An account is created with a username, an email address and a password of at least six characters. You are responsible for the accuracy of those details, for keeping your password confidential, and for everything done through your account. If you forget your password you can request a reset link, which is emailed to the address on the account, can be used once, and expires after a limited time.
You may invite other accounts to a project as a viewer or an editor. Invitations are made by email address, and the invited person gains access when an account with that email address exists. You are responsible for who you invite and for removing access when it is no longer needed.
04Plans, prices and payment
The Service is offered on a Free plan and four paid plans. Paid plans are annual subscriptions priced in Indian Rupees (INR):

The Free plan is additionally limited to 3 projects per account and 250 activities per project; every paid plan is unlimited on both. These limits apply when you create something new: if your account already holds more than a limit allows — for example after a paid year ends — nothing is deleted, and your existing projects, activities and timetables stay available to read and edit. Which features a plan includes is enforced by the Service and is set out on the pricing page: Break duties, Timetable analytics and Public sharing links require Basic or above; Proxy scheduler, Role-based sharing (invite accounts), Change history (undo after a reload) and Term calendar & term totals require Standard or above; AI builder and Exam & test duty require Pro or above.
Tax. DoxaEd is not registered for Goods and Services Tax (GST), so no GST is charged on these prices and no GST is recoverable on them. The price shown is the whole amount payable. If DoxaEd becomes liable to register for GST, this page and the pricing page will be updated before any tax is added to a price.
Payments are collected through our payment partner Razorpay. Your card, UPI, netbanking or wallet credentials are entered with Razorpay and are never received or stored by us; we keep only the record of which plan was bought, when, and the payment reference.
How the annual term works. A paid plan runs for one year (365 days) from the moment of purchase. Unless you cancel first, the subscription renews automatically for a further year on its expiry date, and the then-current annual price for your plan is charged through Razorpay to the payment method you used. We email the address on your account at least 7 days before any renewal charge, stating the date and the amount, so you can cancel first if you no longer want it. Renewing extends your existing account — nothing is re-created and no data moves.
You can cancel at any time, and cancelling stops all future charges. How to cancel, and what happens to your access and your data when you do, are set out in our Cancellation & Refunds policy. If a renewal payment cannot be collected we will tell you by email and retry; if it still cannot be collected, the subscription ends, the account moves to the Free plan and your data is kept. Because the Service is delivered entirely online, nothing is physically dispatched — see the Shipping Policy.
05Free trial
An account gets one free trial of the paid features its plan does not include. The trial runs for 30 days from the day the account is created, whatever plan the account is on. What it adds depends on the plan:
- On the Free plan: Term calendar & term totals, Proxy scheduler, Timetable analytics, Break duties, Exam & test duty, Public sharing links, Role-based sharing (invite accounts) and Change history (undo after a reload).
- On the Basic plan: Term calendar & term totals, Proxy scheduler, Exam & test duty, Role-based sharing (invite accounts) and Change history (undo after a reload). Basic already includes Timetable analytics, Break duties and Public sharing links permanently.
- On the Standard plan: Exam & test duty. Standard already includes Term calendar & term totals, Proxy scheduler, Timetable analytics, Break duties, Public sharing links, Role-based sharing (invite accounts) and Change history (undo after a reload) permanently.
Pro and Premium gain nothing from the trial, because they already include everything it grants. The AI school builder is never part of the trial on any plan, and no other paid feature is excluded from it.
- No payment details are needed to start a trial, and nothing is charged when it ends. A trial never turns into a paid subscription on its own. It does not change your plan or your plan’s limits on teachers, projects and activities, which apply throughout.
- One trial per account, ever. It is counted from the day the account was created, so changing plan neither restarts it nor starts a second one, and buying a plan part-way through does not extend it. An account whose paid plan has expired behaves as a Free account but does not receive a trial.
- When the trial ends, the trialled features lock and your account stays on the same plan. Nothing you made with them is deleted. The proxy cover, absence records and fairness ledger you entered during the trial remain readable, printable and exportable; you simply cannot record or assign more until you buy a plan that includes the feature. The term calendar is the exception: below Standard the calendar is closed rather than read-only, so entries made during the trial are no longer visible. They are kept, and buying Standard or above brings them back.
- Trials are not transferable and have no cash value.
06Acceptable use
You agree not to:
- use the Service unlawfully, or to store unlawful content;
- attempt to access another customer’s account, project or data, or to defeat the access controls that keep projects separate;
- probe, load-test, disrupt or reverse engineer the Service, or circumvent plan limits;
- resell or sublicense access to the Service without our written agreement;
- upload malicious code, or use the Service in a way that damages it or degrades it for others.
07Your data and content
The timetabling data you enter — your projects, classes, subjects, teachers, rooms, rules and generated timetables — remains yours. You grant us only the permission needed to host, process and display it so that the Service can work for you, and to keep backups. How we handle personal data is described in our Privacy Policy.
You are responsible for having a lawful basis for the information you put into the Service about your staff, and for the accuracy of that information.
Deleted timetables. Deleting a generated timetable moves it to the trash, where it can be restored for 7 days. After that it is purged permanently and cannot be recovered.
08Public sharing links
On the paid plans you can publish links that people who are not signed in can open. There are five kinds:
- a read-only timetable link and an editable duty-roster link — Basic and above;
- an assign-cover link and a read-only fairness ledger link — Standard and above;
- a read-only term calendar link — Standard and above.
Every link uses an unguessable, randomly generated token in its URL. The timetable, duty-roster, assign-cover and ledger links additionally carry a short access code, which you can rotate at any time. The calendar link has no access code: anyone holding it can view that calendar.
Links are, by design, usable by people who are not signed in. You decide who receives them, and you are responsible for that distribution. If a link should no longer work, rotate its code or delete the link. Timetable, duty-roster, assign-cover and ledger links created before a downgrade continue to work; a downgrade only stops you creating or rotating them. The calendar link is the exception: it stops resolving while your plan does not include the term calendar, and starts working again if you return to Standard or above. This is deliberate — a term calendar you can no longer open in the app should not stay published to everyone holding the link.
09AI features
The AI assistant and AI builder are optional. When you use them, your message, any file you attach and the project data the assistant reads or writes are sent to Google’s Gemini API for processing, and the conversation is stored against your account. You can also connect a third-party AI client (for example ChatGPT or Claude) to your account through our connector, in which case that client — and its provider — receives the data it requests.
AI output can be wrong. The assistant can create, change and delete data in the project you point it at. Review what it produces before you rely on it; you remain responsible for the resulting timetable.
10Availability, changes and support
We aim to keep the Service available at all times other than during planned maintenance. We do not offer a contractual uptime guarantee or service credits, and we do not guarantee uninterrupted or error-free operation. Planned maintenance that we expect to last more than 30 minutes is announced in advance by email to account holders, and we schedule it outside Indian school hours wherever we can.
Support is provided by email to doxaedoffice@gmail.com and by telephone on 9612165794, Monday to Saturday, 10:00–18:00 IST, excluding public holidays. We aim to acknowledge every email within one working day.
We may add, change or withdraw features. If a change materially reduces a feature you are paying for, we will give you at least 30 days’ notice by email to the address on your account before it takes effect.
11Suspension and termination
You may stop using the Service at any time, and you can move your account back to the Free plan from within the app. We may suspend or terminate access if these terms are breached, if payment fails, or if required by law. On termination the treatment of your data follows the retention rules in the Privacy Policy.
12Disclaimers and liability
The Service is provided on an “as is” and “as available” basis. To the extent permitted by law, we exclude implied warranties and we are not liable for indirect or consequential loss, loss of profit, or loss of data other than as required by law. Our aggregate liability to you for all claims arising out of or in connection with the Service is limited to the total fees you paid us for the Service in the twelve months immediately before the event giving rise to the claim — and where no fees have been paid, to ₹1,000.
Nothing in these terms limits liability that cannot lawfully be limited, including liability for fraud or for death or personal injury caused by negligence.
13Changes to these terms
We may update these terms. The current version is always the one published on this page, with its effective date at the top. Where a change is material we will notify you by email to the address on your account at least 30 days before it takes effect; continuing to use the Service after that date means you accept the updated terms.
14Governing law and disputes
These terms are governed by the laws of India, and the courts at Dimapur, Nagaland, India have exclusive jurisdiction over any dispute arising out of them.
Before starting any proceedings, please raise the dispute with us in writing at doxaedoffice@gmail.com so that we can try to resolve it directly; we will respond within 30 days of receiving it. There is no separate arbitration agreement between us. Nothing here prevents you from pursuing any remedy available to you as a consumer under Indian law.
